Privacy Policy
How FORTIVON collects, uses and protects personal information under POPIA.
1. Responsible party
FORTIVON (PTY) LTD (Registration No. 2026/687077/07), 2A Harrison Street, Marshalltown, Johannesburg, Gauteng 2001, South Africa, is the responsible party for personal information processed through this website, as defined in the Protection of Personal Information Act 4 of 2013 (POPIA). Privacy questions can be sent to luthando@fortivonsa.site.
2. Information we collect
Product request form: first and last name, optional company name, email address, phone number, whether you are an individual or business, product description, quantity, brand, model, specifications, budget (if you give one), delivery province, city, suburb, postcode and optional street address, urgency, notes and your consent record. Uploads: photos or PDF documents you choose to attach to a request. Contact form: name, email, optional phone number, subject and message β this form opens an email in your own email app, so we receive it only if you send it. Customer account: email address, password (stored only in encrypted form by our authentication provider), name and phone number. Quotation responses: whether you accept or decline and any message or question you send. We also keep basic technical records needed to protect the request form from abuse.
3. Why we use it
To review and respond to your request, look for suitable products and suppliers, prepare and send quotations, process your acceptance or decline, coordinate payment and delivery for approved orders, let you track a request, operate your customer account, answer enquiries, keep business records and prevent misuse of the website.
4. Lawful basis and consent
We process personal information with your consent (given on the request form), because it is needed to take steps you ask for before entering into a contract and to perform an approved order, to comply with legal obligations, and for our legitimate interest in running and securing the service. You may withdraw consent at any time by emailing us; this does not affect processing that already took place, and we may then be unable to continue with your request.
5. Sharing with suppliers
To source a product we share only the product details needed β for example description, quantity, specifications and the general delivery area. We do not give suppliers your name, email, phone number or street address unless this is needed to fulfil an approved order (for example direct delivery), and then only what is required. We do not sell personal information.
6. Service providers
We use service providers to operate the website: a cloud hosting and database provider (which also stores uploaded files and handles account sign-in) and an email delivery provider (Resend) for request and quotation emails. Delivery and courier providers may receive delivery details for approved orders. These providers process information on our instructions and are expected to keep it secure and confidential.
7. Cross-border transfers
Our hosting, database and email providers may store or process information on servers outside South Africa. Where this happens we rely on providers that are subject to data protection laws, binding agreements or safeguards that offer protection substantially similar to POPIA, or on your consent, as permitted by section 72 of POPIA.
8. Retention
We keep request, quotation and order records for as long as needed for the purposes above and to meet legal, tax and accounting record-keeping requirements. Requests that do not proceed and their uploaded files are deleted or de-identified when no longer needed. You may ask us to delete information earlier, subject to legal requirements.
9. Security
Uploaded files are kept in private storage and are shared with our team only through links that expire. Access to request, supplier and quotation records is restricted to authorised FORTIVON staff. Request tracking requires both your request number and matching email and shows only a summary, status and dates. No system is completely secure; if a security compromise affects your information we will notify you and the Information Regulator as required by POPIA.
10. Your rights
You may ask whether we hold your personal information and request access to it; ask us to correct or update it; ask us to delete or destroy it; object to processing on reasonable grounds or to direct marketing; and withdraw consent. Send requests to luthando@fortivonsa.site. We may need to confirm your identity before acting. Access requests are also dealt with under our PAIA manual.
11. Complaints
Please contact us first so we can try to resolve your concern. You may also lodge a complaint with the Information Regulator (South Africa): website inforeg.org.za, complaints email POPIAComplaints@inforeg.org.za, general enquiries enquiries@inforeg.org.za.
12. Cookies and analytics
We do not use advertising cookies or third-party analytics trackers. If you sign in to a customer account, your browser stores a session token so you stay signed in; signing out removes it. Our hosting provider may keep standard server logs needed to run and secure the website.
13. Changes
We may update this policy when our services or legal requirements change. The current version is always published on this page.
